Pool Party Policies and Procedures

General Policies

  • All members and guests must follow the pool complex Rules and Regulations. The host family is responsible for informing their guests of the rules and regulations and is accountable for their conduct. The pool management reserves the right bar from the pool complex any person who does not follow the rules and regulations.
  • A guest of the party is considered as any person who is participating in the party activities and eating food from the concession stand. The final guest count must be submitted to the pool management at least one week before the party. No refunds will be issued after the final guest count is confirmed.
  • Any decorations must be pre-approved by the pool management. Latex balloons are not permitted.
  • Children must be supervised by adults at all times at a minimum ratio one adult per five children for children 5 years of age and under and one adult per ten children for children 6 years of age and older. The host family is responsible for maintaining these minimum ratios. Non-swimmers under the age of 5 must be accompanied by at least one adult while in the water.
  • The designated party area must be cleaned, with decorations removed, and vacated by the conclusion of the party. The host family is accountable for the clean-up and any property damage.

Changes and Cancellations

  • If additional guests attend the party, the host family must pay all additional guest fees before leaving the pool complex. Failure to do so may result in suspension or loss of pool membership privileges.
  • The reservation includes a set menu of food calculated from the submitted final guest count. You may purchase additional food by contacting the concession stand management or the party coordinator at least three days in advance.
  • Reservation date and time changes may be made until one week before the original reservation. After that time, no changes may be made and no refunds will be issued. A nonrefundable reservation change fee of $25 will be charged for each reservation change made between May 23, 2026 and August 1, 2026.
  • In the unlikely event of pool closures or equipment malfunctions before the party, the party may be rescheduled without incurring a reservation change fee.
  • In the unlikely event of pool closures or equipment malfunctions during the party, the party coordinator will organize alternative activities.
  • Cancellations or rescheduling requests must be submitted at least 24 hours before the scheduled party start time. Requests made within 24 hours of the event are not eligible for cancellation or rescheduling.

General Procedures

  • A party coordinator will be assigned to your party and will contact you one week before your party to discuss details and logistics. Please contact the Aquatics Director if you do not hear from a party coordinator one week before your party.
  • On the party day, the party coordinator will wear a pink shirt and meet the host family at the pool complex gate. The host family may come up to 30 minutes early to decorate the designated party area.
  • Party guests must check-in at the front gate where they will receive wristbands which they must wear for the duration of the party.
